01 · THE AGENDA
Start with the commitments you made last time. Make space for good work, changing priorities and the things people need help with.
What is complete? What is blocked? What support is needed?
What did someone do right, and why did it matter? Be specific about the behavior you want to see repeated. Respect how they prefer to be thanked.
What does everyone need to know this week? What has changed or needs explaining?
What would help the team move forward? What does the manager need to arrange or resolve?
What will happen, who owns it and by when? Confirm when you will check progress.
What is complete, and what still needs attention?
What matters most today? What has changed?
What could get in the way? Who needs support?
Give each next step an owner and a time. Take longer problems into a separate conversation.
02 · THE MEETING MINUTES
Record what was agreed, the useful context and anything still unresolved. Invite corrections, then give each action an owner and a realistic date.
A FICTIONAL TEAM EXAMPLE
Two versions are circulating. The team agrees to keep the current equipment checklist in one Library folder and check that everyone can find it.
Previously downloaded copies will not update automatically. Colleagues replace their own old copies.
Replace the obsolete copy and confirm the current version.
Confirm that the team can open the current copy.
The manager owns arranging the help needed.
Use the same action, owner and date in your meeting notes.
03 · FROM THE MEETING TO THE WORK
The template helps you run the conversation. NewsAndWins gives your team a shared place for the notes and the actions that follow.
An administrator uploads the completed PDF or Word document in Meeting notes, or writes a note or summary.
Link the note to its calendar event so the meeting context stays with the record.
In the web dashboard, add the agreed actions, choose an owner and set a due date. Team members can mark their assigned actions complete in the app.
Published meeting notes are shared across your workspace. Keep confidential employee matters in the appropriate private process.
04 · THE COMPLETE KIT
Five useful pages. Edit them in Word, print the PDF or browse the sheets here before you download.
A FEW PRACTICAL QUESTIONS
The agenda sets out what you want to discuss before the meeting. The minutes record decisions, useful context, unresolved points and actions afterwards. You do not need a word-for-word transcript.
Yes. Edit the Word version to suit your meeting, role and team size. Keep the purpose clear and leave enough time for people to speak. Use the ten-minute huddle when a shorter conversation is enough.
Ask what is blocking progress and what help is needed. Confirm whether the action still matters, agree any change to the owner or date, and record the reason. Include the manager’s commitments in that review.
No. An administrator uploads the completed document or writes a summary, then adds the agreed actions using the existing action controls. Each action can have an owner and a due date.
This kit is for shared team meetings. Published Meeting notes are visible across your workspace. Keep confidential reviews in your organization’s appropriate private record system. Our manager resources include separate review conversation guides.
